Job Description
The Associate General Manager assists the General Manager by performing related duties in the leadership, operations, and management of the hotel. A hotel Associate General Manager's main role is to respond to all hotel issues and problems to make sure the hotel runs smoothly each day. Second only to the hotel General Manager, the Associate General Manager oversees departments like housekeeping, advertising and marketing and food service workers and reports to the General Manager if any employee or department is in disarray in any way. However, the Associate General Manager may also remedy these issues on his/her own as long as he or she meets all hotel standards and guidelines.
The Associate General Manager will be responsible for the revenue management of the hotel and work to price and sell room inventory to optimize revenue. Revenue Management duties will include managing Group Bookings, Direct Bills, and Accounts Receivables.
The Associate General Manager is stationed at the front office and may greet and assist Guests (customers of the hotel) during their stay. He or she shall employ sales tactics to sell any available room inventory, take reservations, answers telephone calls and is responsible for cash receipts and accounting of such receipts during their assigned shift.

As an Associate General Manager employed by INNsight Hospitality Group, the employee must perform the following essential job functions:
FRONT DESK ESSENTIALS:
Provide courteous Guest service and respond promptly and politely to Guest’s requests, questions, or complaints. Memorize and exhibit the INNsight Hospitality Pledge.
Review front desk log book and note/follow-up on any special problems, guest requests/complaints, VIP arrivals and other special instructions from previous shift(s). Make applicable entries and communicate such issues for each shift accordingly.
Review and maintain the GRID – Graphical Room Inventory Display to correspond with stayovers, checkouts and arrivals for the day and any future reservations. Be alert for changes/errors and maintain communications with the Housekeeping Department regarding the status of rooms. Ensure that guest ledger and all daily and monthly reporting are in balance.
Ensure that Guest payments are handled correctly, maintaining individual cashier responsibility and accountability once you have taken over shift ownership. Utilize proper shift change methods whereby ensuring that you have balanced all accounts including payments, miscellaneous accounts, voids and adjustments, etc. Declare cash over/shorts, when and where applicable. Ensure that cash drawer contains adequate change for the next shift. Do not leave until the next person has counted cash and accepted responsibility for the drawer and extra change bank.
Maintain records and files applicable to your job in a neat, organized fashion which is in accordance with Company procedures. File folios and registration cards as a regular part of your duties. Clean and organize your work area(s) during down periods.
Answer the telephone switchboard within five rings, using a professional and proper greeting with a warm and friendly tone. Maintain familiarity with local attractions, services, and restaurants while completely understanding the hotel’s amenities and layout, reservation and booking status and all property policies in order to answer a guest’s questions fastidiously. Take legible, complete, and concise messages for Guests and/or supervisors. Post wake up calls for Guests as requested.
Master the operation of the Company’s audit and property management systems and accounting processes. Close daily credit card batch, nightly audit reports, and check out all guest folios in the case of being employed for the night shift
Provide courteous reservation services to Guests, utilizing the correct forms and methods. Ensure that the reservations are accurately depicted in the GRID. Know and quote a range of rates, per the property’s rate schedule, using techniques to maximize sales.
Perform check-in and check-out functions exhibiting the INNsight Hospitality Pledge and correct procedures. Leverage up-selling techniques at check in or while taking reservations and referral techniques when checking out guests to solicit positive reviews and future return reservations. Note special requests on reservations and communicate any problems with requests at check-in. Quote rates and ensure that Guests understand what they are paying for.
Handle Guest complaints in a courteous and encouraging manner. Refer to your supervisor any unresolved complaints and attempt in earnest to resolve any issues that arise.
Perform daily audits and ensure that credit card authorizations or other forms of payment received for each folio is accurate.
GENERAL MANAGEMENT
Direct housekeeping, maintenance, and front desk staff duties and oversee the performance of each department towards daily goals and any ongoing long-term projects.
Maintain good rapport and open communication with your peers and other facility management departments, and the various departments at the INNsight Hospitality Group.
Aid in the implementation of new systems, procedures and policies developed by Management.
